Service responsible and scope

Vchat by Studio Vainilla It is a software-as-a-service (SaaS) platform developed and commercially operated by Studio Vainilla, trade name of Mario Humberto Gutiérrez Morales, a natural person with business activity in Mexico.

This page explains how to request the removal of information linked to a Vchat account or an authorized integration with Facebook Messenger, Instagram, or WhatsApp Business, as well as the difference between deleting data and disconnecting a channel.

Who can request the removal?

• Administrators of client companies: They can request the deletion of the account, a workspace, and the data managed by their organization, subject to verification of authority.
• Users of Vchat: They may request the deletion or revision of the personal data associated with their user, depending on their relationship with the company that owns the workspace.
• People who contacted a company through Meta: They can request information or have their conversations’ data deleted. If the client company determines the purposes of the processing, Vchat can channel the request to the appropriate business or coordinate its handling.

Receiving a request does not imply deleting data from third parties or other users without verifying the identity, representation or appropriate authorization.

What information may be involved

According to the channel, the permits granted, the operation enabled and the data effectively received, the request could cover:

• Registration data, identification, email, and account preferences for a Vchat account.
• Technical and commercial identifiers associated with Facebook pages, professional Instagram accounts, or WhatsApp Business accounts.
• Names, profile photos, and other public or authorized data that the corresponding API allows to be provided.
• Message history, attachments, notes, contacts, tags, and CRM records.
• Credentials or connection tokens that need to be revoked or removed from the system.
• Technical records, backup copies, and operational evidence subject to retention policies and legal obligations.

Not all of this data is obtained through all channels. Vchat does not claim access to information that Meta has not authorized or provided.

How to submit an application

Send an email to hola@studiovainilla.com with the subject «Request for data removal — Vchat».

1. Indicate your name and a means of response.
2. It indicates whether you are an administrator of a client business, a Vchat user, or a person who wrote to a connected account.
3. It provides the name of the company or workspace and, if applicable, the channel (Messenger, Instagram or WhatsApp) involved.
4. Describe what information you request to be deleted and how to locate it, avoiding sharing passwords, tokens, or sensitive documents by email without being asked to do so through a secure channel.
5. If you are acting on behalf of a company or another person, we may require sufficient proof of that representation.

What happens after receiving it

1. Reception: We will register the request and can confirm that it was received.
2. Verification: We verify identity, authorization, and the location of data when necessary.
3. Evaluation: We determine whether Vchat acts as the controller of the processing or as a provider that processes data on instructions from a client business.
4. Attention: We perform the actions required in our systems or coordinate the request with the responsible business.
5. Answer: We communicate the result, the applicable limitations, and, where appropriate, the confirmation of removal.

Requests are processed in accordance with the deadlines and requirements established by applicable legislation. If there is a valid obligation to retain certain information, we will explain the reason when appropriate.

Disconnecting Meta is not the same as deleting data

If a company revokes Vchat's access to a Facebook page, an Instagram account, or a WhatsApp Business account, the integration may stop receiving and sending new messages. The revocation of permissions does not necessarily remove the messages, contacts, or records previously stored in Vchat.

To request the deletion of retained data, you must follow the procedure on this page or the deletion function available on the platform, as applicable. Disconnection can also be managed from Vchat integration options or from the Meta tools available to the authorized administrator.

Removing content from Vchat does not equate to removing copies that remain under the control of Meta, the client business, or other participants in the conversation.

Data managed by client companies

Companies that use Vchat can determine the purposes and means of processing their own customers’ and contacts’ information. In such cases, Studio Vainilla can act as a service provider or data processor in accordance with applicable instructions and agreements.

If you wrote to us through Messenger, Instagram, or WhatsApp from another company and wish to exercise your rights over a conversation, you can also contact that company directly. When we receive your request, we will indicate the appropriate channel or collaborate in its handling in accordance with our responsibilities.

Conservation, supports and exceptions

Deletion may be limited by security requirements, fraud prevention, tax compliance, contractual or legal obligations, the defense of rights and other legally applicable exceptions.

Some residual data may remain temporarily in protected backups until the corresponding retention cycle is completed, with restricted access and without being reinstated to normal use unless there is a justified need.

We do not set a single deadline for all data on this page: it depends on the category of information, the applicable obligation and the contractual relationship. To learn about the corresponding processing, please consult our Privacy Notice.

Other privacy rights

In addition to removal or cancellation, the persons entitled may exercise the rights of Access, Rectification, Cancellation, and Opposition (ARCO), as well as revoke the consent when appropriate.

Integrations and permissions from Meta

The processing related to Facebook Messenger, Instagram and WhatsApp Business is limited to the information accessible in accordance with applicable permissions and policies and to the configurations authorized by each company.

This page constitutes a public mechanism for information and instructions on how to request the deletion of data. It does not replace the technical mechanisms that Meta may require from an application., As a callback URL for deletion requests. These features must be configured and tested separately by Meta Developers when required.
